Privacy Policy

This Privacy Policy explains how SAPMavens collects, uses, stores, shares, and protects personal information processed through the SAPMavens website, managed marketplace, training pages, knowledge base, and internal delivery workspaces.

Effective date: June 05, 2026

Draft for operational use. Review with qualified legal counsel before public production launch or commercial contracting.

1. Scope

This policy applies to visitors, freelancers, incubants, job seekers, clients, internal employees, PMO users, admin users, accounts users, and knowledge-base contributors who interact with SAPMavens.

SAPMavens operates as a managed SAP talent and delivery platform. Because of that model, we process both marketplace information and operational delivery information, including profile data, project data, checkpoint data, effort approvals, training content interactions, and finance-related records where required.

2. Information We Collect

We may collect identity and contact information such as name, email address, phone number, role, company name, professional headline, and location.

For talent-side users, we may collect skills, certifications, languages, experience, resume content, social links, rate-card information, interview/vetting outcomes, project applications, checkpoints, timesheets, and assignment history.

For clients, we may collect organization details, project requirements, staffing expectations, milestone approvals, payment status, and communications relevant to managed delivery.

For internal operations, we may collect audit information, role-based workflow actions, invoice and payout records, and internal governance notes.

Where KYC or payout verification is later enabled for freelancers, SAPMavens may process additional restricted information such as bank proof, PAN, or masked identity documents under separate internal access controls.

3. Why We Use Information

We use information to create and manage user accounts, verify email ownership, route users into the correct workspace, and maintain platform security.

We use profile, skill, resume, and project information to support managed matching, PMO review, shortlist preparation, project staffing, placement support, and client-facing managed delivery updates.

We use checkpoints, timesheets, milestones, billing, payout, and finance records to operate delivery governance, invoice clients, schedule freelancer payouts, and maintain internal accounting visibility.

We may also use information to improve platform content, moderate knowledge-base submissions, review suggested custom skills, and support future training and incubant programs.

4. Legal and Operational Basis

SAPMavens processes information for legitimate business and operational purposes related to managed staffing, project delivery, recruitment support, internal governance, fraud prevention, contract performance, finance operations, and user support.

Where required, SAPMavens relies on user consent, contractual necessity, compliance obligations, or legitimate interests, subject to applicable law in the operating jurisdiction.

5. Sharing and Disclosure

SAPMavens does not operate as an open bid marketplace for clients. Raw freelancer bids, internal rate discussions, and internal staffing decisions are not shared with clients unless SAPMavens explicitly chooses to present curated candidate information as part of the managed service flow.

We may share limited profile and delivery information internally among SAPMavens teams such as PMO, Admin, Accounts, and internal employees where needed to perform staffing, support, payment, moderation, or compliance functions.

We may share selected information with clients only to the extent necessary for project execution, placement review, effort approval, billing, or managed delivery visibility.

We may also disclose information if required by law, lawful request, dispute handling, fraud prevention, or protection of SAPMavens, users, or clients.

6. Knowledge Base and Public Content

Knowledge-base articles are public only after internal approval. Content submitted before approval is treated as internal moderation content.

Users must not publish confidential client data, trade secrets, private credentials, sensitive personal information, or copyrighted material without permission.

7. Cookies, Session Data, and Device Information

SAPMavens uses browser-side cookies or equivalent local session mechanisms to maintain login state, role-aware navigation, and authenticated access to protected areas.

We may also process technical information such as IP address, device/browser information, basic request logs, and application diagnostics for security, troubleshooting, and uptime support.

8. Retention

SAPMavens retains information for as long as reasonably necessary to operate the service, maintain auditability, meet contractual obligations, support finance and tax records, and resolve disputes.

Inactive freelancer accounts may be deactivated under SAPMavens inactivity rules. Some data may continue to be retained after deactivation where needed for audit, project history, legal, finance, or fraud-prevention purposes.

9. Security

SAPMavens uses role-based access controls, managed approval workflows, backend validation, and operational governance to reduce unauthorized access and inaccurate disclosure.

No online platform is completely risk-free. Users should avoid uploading unnecessary sensitive data and must use only approved channels for highly confidential client information.

10. User Rights and Requests

Users may request reasonable correction of inaccurate profile or contact information through the platform or by contacting SAPMavens.

Deletion, export, restriction, or objection requests may be supported subject to operational, legal, billing, audit, contract, and dispute-resolution requirements.

11. Children's Data

SAPMavens is intended for professional and career-related use. It is not intended for children below the legal age required to enter such services under applicable law.

12. Contact

Questions about privacy or data use can be sent to SAPMavens at hello@sapmavens.com or through the Contact page.
